We are seeking a Project Executive – Charter Groups to support the management and coordination of all operational aspects of charter group services, including airport transfers, excursions, and roundtrip programs. The role focuses on ensuring smooth execution of daily operational tasks, accurate system records, and timely communication between internal departments, suppliers, and field teams.

The ideal candidate is highly organized, detail-oriented, and possesses strong communication skills, with the ability to multitask and work effectively in a fast-paced environment.

Charter Airport Transfers

  • Check and summarize seat production from supplier portals.
  • Update REPs and Operations teams on seat sales and allocations.
  • Prepare weekly passenger transfer lists and coordinate with the Snr Project Manager on vehicle allocation.
  • Send internal correspondence to the Operations team regarding charter transfers.
  • Create records in the system to ensure accurate data entry and traceability.
  • Generate invoices for charter-related services.

Excursion Management

  • Track online and on-site excursion sales, maintaining daily and weekly updates.
  • Coordinate with the system administrator to correct data discrepancies or system errors.

Round Trip Coordination

  • Track sales and ensure release of unsold rooms 19 days prior to group arrival.
  • Prepare and send rooming lists and LPOs to hotels according to confirmed itineraries.
  • Create system records for each group and communicate program details to Operations.

Administrative & Support Functions

  • Maintain updated operational records and ensure proper filing for audit and reference purposes.
  • Liaise with the finance department to support invoicing and reconciliation processes.
  • Support REPs with basic operational coordination when needed.
  • Contribute to daily communication flow between field staff, suppliers, and internal teams.

Requirements

  • Bachelor’s degree in Tourism, Hospitality Management, Business Administration, Event Management, or a related field preferred
  • Industry Experience – Minimum of 2-3 years of experience ravel, or event operations, preferably within a Destination Management Company (DMC).
  • Technical Acumen – good knowledge of reservation and operations systems and supplier portals.
  • Analytical Ability – Capable of tracking and reconciling data accurately across multiple systems.
  • Specialist Knowledge – a good understanding of group travel, charter logistics; destination product knowledge would be an advantage
  • Language Skills – Fluent in English (spoken and written) is essential, Polish language skills would be an advantage
  • IT Proficiency – Comfortable using reservation systems, Microsoft Office, and itinerary planning tools.
